As a Project Co-ordinator (Admin) within Mears Group PLC, you’ll help keep complex repair, maintenance, and planned investment work running smoothly—supporting teams, coordinating documentation, and ensuring the right information lands in the right place, right on time.

About The Role
Mears Group has been awarded a major 10-year partnership with Birmingham City Council to deliver repairs, maintenance, and planned investment across 11,500 homes in central and west Birmingham.
In this Project Co-ordinator (Admin) position, you’ll provide essential administrative and coordination support to help the contract deliver effectively—supporting planning, tracking, and day-to-day operational delivery.
What You’ll Do
- Coordinate administrative tasks to support the delivery of repairs, maintenance, and planned investment work.
- Maintain accurate records and ensure information is updated consistently across relevant systems and documentation.
- Support project and operational teams with scheduling, document control, and routine coordination activities.
- Assist with the collation and processing of contract-related paperwork, ensuring completeness and compliance.
- Track requests, actions, and updates to help keep workflows moving and reduce delays.
- Handle day-to-day communication with internal stakeholders to confirm priorities, next steps, and timelines.
- Support reporting by gathering information and preparing admin inputs for reviews and progress updates.
- Help ensure processes are followed so that the contract operates smoothly and consistently.
What We’re Looking For
- Strong administrative and organisational skills, with the ability to manage competing priorities.
- Comfort working in a busy operational environment where attention to detail matters.
- Clear communication skills—able to liaise professionally with internal teams and stakeholders.
- Confidence working with information, documents, and structured processes (document control experience is a plus).
- A proactive mindset: you spot what needs doing, follow through, and keep things on track.
- Experience in coordination/admin roles (project support, scheduling, or contract administration) is desirable.
- Good IT skills, including the ability to work with business systems and standard office tools.
