As an Accounts Payable Assistant at The Obesity Society, you’ll support invoice processing, vendor communication, and accurate recordkeeping—making sure payments and reporting are handled correctly, on time, and with care. About The Role

The Accounts Payable Assistant performs essential accounting and clerical tasks related to accounts payable transactions. You’ll receive and log invoices, maintain and update the accounts payable ledger, generate assigned financial statements and reports, and support other finance and operations needs as directed by the Director of Finance & Operations.

On-site availability may be required at times—please confirm the expected schedule with the employer.

What You’ll Do

You’ll balance administrative support with hands-on accounts payable processing. Your day-to-day will include:

  • Process invoices by stamping, coding, applying approval stamps, and entering invoices into the accounting system
  • Maintain the accounts payable ledger by keeping records accurate, current, and well organized
  • Support invoice documentation including receiving, logging, and filing according to company procedures
  • Handle payments administration by printing, mailing, and filing checks for multiple properties
  • Resolve vendor issues related to past due balances, misapplied payments, and other discrepancies
  • Generate assigned reports and assist with financial statement preparation as requested

Administrative & Office Support Responsibilities

This role also includes important behind-the-scenes office support that keeps operations running efficiently:

  • Provide office support such as filing, maintaining data retention practices, managing mail, and assisting with other duties as needed
  • Maintain accounting files and ensure documentation is stored properly
  • Conduct company business in alignment with established policies

What We’re Looking For

The ideal candidate brings a solid foundation in accounting basics, strong office skills, and the professionalism required to handle financial and confidential information.

  • Education: High School Diploma or equivalent
  • Accounting background: Basic understanding of accounting fundamentals or ~1 year of accounting experience
  • Computer skills: Strong proficiency with Microsoft Excel, Word, and Outlook
  • Data entry: Experience with data entry and/or 10-key
  • Accounting software: Experience with Yardi or similar accounting systems (preferred)
  • Accuracy & follow-through: High degree of accuracy, strong attention to detail, and reliability in completing tasks
  • Communication: Professional written and oral communication skills
  • Attendance: Prompt and consistent attendance during scheduled work hours
  • Confidentiality: Ability to maintain confidential information at all times
